Sharing & access control

Every site has one link and a set of controls that decide who gets in. Change them any time from the site's settings, without republishing or breaking the link.

General access

  • Restricted. Only the people you name can open it, and each one confirms their email before any content loads.
  • Anyone with the link. No sign in. Anyone who has the link can view.

People with access

On a restricted site, Share names who gets in. Add people by email, like jane@acme.com, or a whole company at once with its domain, like acme.com. Everyone in your workspace can be given access in one line. Add and remove people at any time; the dialog suggests people you have shared with before.

View password

Give any site a password. It is stored securely and never shown back to you. On a restricted site the password is a second way in: anyone holding it can open the site without being on the list. On a site open to anyone with the link, it is the only check.

One-time link

Copy a one-time link to let one person open a restricted or password-protected site once, with no sign in and no password. The link must be opened within seven days and works for a single sitting of about an hour; after that it is spent. Change the site's general access or its password, and every one-time link stops working.

Link expiry

Give a link a deadline. After the date you set, the link stops working. Clear the deadline to make it permanent again. Sites show whether a link is active, expiring soon, or expired, so nothing lingers longer than you intended.

Access requests

When someone who is not on the list opens a restricted site, they can ask for access. The request shows up in Share, and you can approve it (which adds them to the list) or turn it down.

Take a site offline

You can take a site offline without deleting it, then bring it back later. The site, its content, and all its settings are kept. Only the link is switched off while it is offline.
